How we handle your application

This notice explains how Technica handles your personal data when you apply for a job with us, send us an unsolicited application or meet us at a career fair.

Who is responsible

The data controller for your application is the Technica company the position is with:

  • Technica Group A/S, Denmark
  • Technica ApS, Denmark
  • Technica Engineering & Construction Ltd, United Kingdom
  • Technica Engineering & Construction IE Ltd, Ireland

The companies use one shared recruitment system. If a position is open in more than one country, the companies involved share your application so it can be considered for each location you choose. Questions about your data: write to job@technica.dk.

What we collect

  • What you give us: your name, email address, phone number, CV, cover letter, answers to our questions, where you would like to work and your salary expectation.
  • What we add during the process: notes and assessments from the people reviewing your application, interview times and the outcome.
  • What a job board or recruiter sends us when you apply through them.

Please do not include sensitive information — such as health, religion, political views, trade union membership or a photo — unless we ask for it. We do not need it to assess your application.

Why we use it, and on what basis

  • To assess your application and take steps towards a possible employment contract (GDPR article 6(1)(b)).
  • To run a fair and well-documented recruitment process, and to defend it if it is ever challenged (our legitimate interest, article 6(1)(f)).
  • To keep you in our talent pool for future positions — only if you tick the box for it (your consent, article 6(1)(a)).

We only contact references with your agreement. If a role requires a background check, we tell you before we do it.

Who sees your application

Only the people involved in the recruitment: our people team, the hiring manager and the interview panel for the position. Your data is stored in Technica's own recruitment system and mailboxes, hosted by Microsoft in the EU. Microsoft acts as our data processor under a data processing agreement. We do not sell your data or share it with anyone else, unless the law requires us to.

Help from AI

We may use an AI service (Microsoft Azure OpenAI, processed in the EU) to summarise applications and help us compare them with the requirements of the position. The AI does not decide anything: every decision about your application is made by a person. Your data is not used to train AI models.

How long we keep it

  • Your application is deleted 6 months after the position closes.
  • If you joined our talent pool, we keep your details for 24 months. Before that period ends we ask whether you want to stay for another 24 months; if you do not answer, your details are deleted.
  • If you are hired, your application becomes part of your personnel file.

Your rights

You can ask to see the data we hold about you, have it corrected or deleted, restrict or object to our use of it, and receive a copy of what you gave us. You can withdraw your consent to the talent pool at any time; this does not affect anything we did before. Write to job@technica.dk and we will answer within one month.

If you are unhappy with how we handle your data, you can complain to the data protection authority where you live or work: Datatilsynet in Denmark, the Data Protection Commission in Ireland or the Information Commissioner's Office in the United Kingdom.

No automated decisions

We never make a decision about your application by automated means alone.
